Budget 2026: what it means for you and your business —

Finance Automation & App Stack

In short

Finance automation means the routine work happens without a human doing it: receipts captured and coded automatically, supplier invoices routed for approval, bank transactions matched by rule, payment runs prepared in a click. The result is fewer errors, faster month-ends, and a finance function that scales without adding headcount. This is where most accountancy firms stop — and where we don’t.

Almost every finance team is still paying people to retype information that already exists in digital form. The technology to stop that has been mature for years; what is scarce is someone who will design the stack properly, implement it, and make it stick. This is the service most likely to change how your business actually feels to run.

What can actually be automated?

Receipt and invoice capture — photograph or forward a document; it is read, coded and posted. (Dext, AutoEntry, Hubdoc.) Purchase approval workflows — invoices routed to the right approver by value and category, with an audit trail. (ApprovalMax.) Payment runs — approved invoices batched and paid, with no manual re-keying of bank details. (Telleroo, Xero bill payments.) Bank reconciliation — rules that match the routine 80% automatically, leaving humans to look at the exceptions. Sales integration — your till, e-commerce platform, booking system or job-management tool feeding sales straight into the ledger. Debtor chasing — automated, escalating reminders (see Credit Control).

What difference does it actually make?

Three things, in order of importance.

Your numbers become current. Decisions get made on this week’s position rather than last quarter’s.

Errors fall. Most bookkeeping errors are transcription errors. Remove the transcription and you remove the errors.

You stop hiring for it. Volume grows without the finance headcount growing with it — which is what allows a business to scale without its overheads scaling too.

There is also a control benefit: approval workflows create a genuine audit trail and make it materially harder for payments to leave the business unnoticed.

How do you design the right stack?

We start with where your time actually goes — not with a product list. Usually it is one of three places: chasing paper, keying invoices, or chasing money.

We then design the smallest stack that removes that work, implement it, and train your team on it. Then we review it after a quarter, because the stack that fits a business at £1m does not fit it at £5m.

We are not resellers and we take no commission from software vendors. The recommendation is what fits.

The fastest month-end is the one nobody had to do

Most businesses treat month-end as an unavoidable cost. It is largely an artefact of manual processes. Remove the re-keying and the chasing, and month-end shrinks from a fortnight to a few days — which is time your team spends on the business instead of on the books.

Frequently asked questions

What is an accounting app stack?

The set of tools that sit around your core accounting software to remove manual work — receipt capture, purchase approval, payment runs, sales integrations and debtor chasing. The accounting system is the hub; the stack is what stops humans having to retype information into it.

How much time can automation actually save?

It varies with your transaction volume and how manual your current process is, but the biggest gains are usually in invoice processing and month-end close. Businesses commonly find month-end shrinks from a fortnight to a few days. The more meaningful benefit is that your numbers become current enough to act on.

Do you take commission from the software you recommend?

No. We're not resellers and we take no vendor commission, so the recommendation reflects what fits your business rather than what pays us. If the right answer is that you need fewer tools than you currently have, we'll say so.

Will automation mean I can reduce my finance headcount?

Sometimes, but the more common outcome is that you stop needing to add headcount as you grow. Volume increases without the finance team increasing with it — and the people you have move from data entry to work that actually needs judgement.
