Budget 2026: what it means for you and your business —

Outsourced Finance Function

In short

An outsourced finance function means we run some or all of your finance operation — transaction processing, supplier payments, credit control, payroll, VAT, management accounts and board reporting — using cloud software you can access at any time. You get a whole team’s expertise, with a chartered accountant overseeing it, for a predictable monthly fee, and none of the recruitment, holiday cover, training or software overhead.

Most finance functions in owner-managed businesses are held together by one person, a spreadsheet and a great deal of goodwill. That works until it doesn't — until they leave, or fall ill, or the business simply outgrows them. Outsourcing turns a fragile fixed cost into a resilient, scalable service.

What does an outsourced finance function include?

Scoped to what you need, from a slice to the whole thing:

Transaction processing — purchase and sales ledgers, expenses, reconciliations. Supplier payments — prepared,
approved by you, executed. Credit control — chasing your debtors so you don’t have to. Payroll, pensions and CIS.
VAT returns and MTD compliance. Monthly management accounts with commentary. KPI reporting and board packs. A named
contact who knows your business.

And above it, chartered oversight — a qualified accountant reviewing the work each month.

When does outsourcing make more sense than hiring?

When you need more capability than one person can provide, but less than a full team’s worth of hours. That is a
very wide band, and most businesses between roughly £500k and £15m of turnover sit in it.

The honest test: if you are relying on one bookkeeper and privately worry what happens if they leave, you are
carrying a risk that outsourcing removes. If you have a functioning finance team of three and a competent financial
controller, you probably don’t need us for this.

Do I lose visibility or control?

You gain both. Everything runs in your cloud accounting system, which you can log into at any time — you see exactly
what we see. Payments are always approved by you; we prepare, you release.

What you lose is the administration: the recruiting, the covering, the training, the software licensing, and the
nagging awareness that only one person understands how it all works.

Frequently asked questions

How much does an outsourced finance function cost?

It's scoped to what you actually need, so it varies — but the comparison to make is against the fully loaded cost of employing: salary plus employer NI, pension, holiday cover, software, training and recruitment. For most businesses in the £500k–£15m range, outsourcing is both cheaper and more capable.

Will I still be able to see my own numbers?

Yes — everything runs in your cloud accounting system, which you can log into whenever you like. You see exactly what we see, in real time. Payments are always approved by you: we prepare them, you release them.

Can I outsource just part of my finance function?

Absolutely, and most clients do. You might keep your bookkeeper and outsource management accounts and credit control, or vice versa. We scope it around the gaps you actually have rather than insisting on all or nothing.

What happens if my bookkeeper leaves?

With an outsourced function, nothing — the work simply continues. That's one of the main reasons businesses make the switch: the quiet awareness that if one person resigned tomorrow, nobody else would know how the finance function actually works.
